Booking Terms
These booking terms (‘Booking Terms’) are between the person or legal entity making the Booking (‘You/Your’) and the accommodation provider stipulated in Your confirmation email (‘Booking Confirmation’) (‘We, Us, Our’). These Booking Terms are governed by English law and apply to all Bookings placed with Us. By making a Booking You are deemed to accept and be bound by these Booking Terms.
You must be able to enter into a legally binding contract and be over 18 years of age to make a Booking.
When Your Booking is confirmed by phone and/or email, a reservation number is generated and should be used in conjunction with your name and check in date and quoted in all communications should any cancellation or amendment be necessary. You may need to quote this reservation number when You contact Us.
Bookings are made and a contract between You and Us comes into effect when We accept a reservation from You. A reservation is deemed accepted when We have confirmed Your reservation and received either: (i) full payment of the total price; or (ii) payment of any other amount We have specified at the time of Your Booking. (iii) a payment card to guarantee your booking since to be deemed accepted and confirmed, Bookings must be guaranteed using a valid credit or debit card or any other payment type specified.
Prices
All prices are exclusive of VAT but inclusive of any other applicable taxes at the current rate. Prices quoted are correct only for the specific number of guests, dates, nights and rooms shown on Your Booking Confirmation.
Breakfast is included in the price of Your Booking and served during the specified times. Any dietary requirements should be noted at the time of booking and we shall endeavour to fulfil your requests.
If You have selected booking extras these are added to the total price of Your Booking. Prices do not include other costs You may choose to or actually incur during Your stay (unless otherwise stated).
Availability
In the rare case that We are unable to accommodate You as per Your Booking, and not for reasons covered in the Cancellation Policy, You will be offered alternate accommodation and if there is a difference in the Price, We will be liable for the price differential. If the differential is more than the original value of Your Booking and provided that Your alternative accommodation is of a reasonably similar standard to Your original Booking, the differential cost will be borne by Us.
Arrival and departure
The normal arrival (check-in) times are between 16:00 and 21:00 and departure (check-out) times between 07:30 and 11:00. Should You wish to check-in or check-out at a time other than those specified You must confirm this to Us directly and a fee may be payable. In the event that You attempt to check-in later than the stated times without prior arrangement, or fail to check-in at all, We may cancel the entire Booking and retain any amounts We are entitled to retain as stated in the Cancellation Policy.
Damages and Breakages
Please take care of our accommodation and surroundings. We accept that accidents happen, but you are responsible and liable for any breakages or damages which you cause to the accommodation and its contents. Please let us know of any instances as soon as they occur. We do not normally charge for minor breakages, but we reserve the right to make a charge to the guest’s credit/ debit card, or we may send you an invoice, for repair or making good if the damage or breakage is significant. We may make an additional charge if you did not report this as soon as it occurs. Wilful damage will incur the full cost of replacement or repair.
Keys
You have access to the building and your room 24 hours a day throughout your stay using a set of keys given to you when you check in. You have full responsibility of these keys for the duration of your stay. Please ensure all keys are returned on departure. Lost, or unreturned keys will be charged at £30.00 per set plus any additional costs incurred if any additional work is required, such as, locks having to be changed.
Behaviour
We will not tolerate any type of abusive, violent or unacceptable behaviour towards ourselves, our staff or any fellow guest. In the event of any type of such incident, you and the rest of your party will be required to leave immediately, and the booking terminated. The total amount of the booking will be chargeable.
Liability
We do not accept liability for damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.
Visitors
Guests are not allowed to bring any visitors onto the property without the express permission of the manager.
Events and Parties
Events may only be permitted with prior permission from Us and be subject to additional Terms and costs which may be billed separately from Your Booking Confirmation.
Smoking
There is a designated outdoor smoking area provided. Smoking and/or Vaping is not allowed in any of our rooms, nor is interfering with our fire detection system. If you do so, we will terminate your booking without refund and require you to leave immediately. You authorise us to charge you for any costs we incur if you smoke or cause damage in our rooms including costs for specialist cleaning (to make the room fit for sale as a non-smoking environment) and the cost of the room for any time period it is unusable.
Children
We welcome children at Hollybank House. Please advise us of their age at the time of booking. We can normally provide a travel cot or additional ‘put me up’ beds for some of the rooms if required. Please ensure that they respect other guests. As a member of Your Booking you will be responsible for their Behaviour.
Pets
We welcome pets (mainly dogs) at Hollybank House. Please let us know in advance if you will be bringing any. There is a ‘just in case’ charge of £10 per animal per night which can be paid as part of the Booking process. You remain responsible and liable for the Behaviour of your pet at all times. Animals are not permitted in the dinning room.
Food and Drink
We are not adverse to guest having a picnic (or similar) in the garden or on the terrace. Guests are also welcome to have takeaway food but we ask that this be restricted to the dinning room or outside and is not permitted in the bedrooms.
Parking
There is plenty of space for parking at Hollybank, even for larger vehicles and trailers (please ask in advance). Vehicles and their contents are left at your own risk and we do not accept responsibility for any loss or damage. If you require a power hook up or recharging please ask in advance. There may be an additional cost.
Outdoor Equipment
Large items of outdoor equipment are not permitted to be taken into the guest rooms. We have various storage areas available for outdoor equipment, such as bikes, golfing equipment, canoes, wetsuits, parascending rigs etc. If possible please ask in advance.
Lost Property
Property left will be held for 2 weeks from the date of departure, after that time it may be disposed of. We are happy to arrange postage back to you at cost plus £10.
Payment Policy
The total amount payable to confirm Your Booking is quoted in Your Booking Confirmation and will be charged to Your credit or debit card or any other payment type offered at the time of Booking. if your card is declined or does not have sufficient funds We may automatically cancel Your booking.
Any remaining outstanding balance may be payable in advance of Your stay using the payment details We hold for you. Any additional goods and services purchased during Your stay must be paid in full before the end of Your stay. Should You leave the premises without settling any outstanding amount We reserve the right to charge the payment card you provided at the time of Booking and apply an administration fee of £20.
Some bookings may require a non-refundable payment, which will be detailed in your booking confirmation. For bookings that are whole house reservations we reserve the right to request a non-refundable deposit & Full payment is required 21 days prior to arrival.
Special Offers and late deals may require full or part payment at the point of booking. Bookings made via a 3rd party agent such as Booking.com may be charged in full prior to arrival or at the point of booking if made less than 30 day prior to arrival. This is due to the high rates of commission charged by these agents and the marketing techniques they employ that sometimes result in high cancellation rates – this will not apply to bookings made directly.
IMPORTANT – We may use Your payment card details to guarantee Your reservation according to PCI-DSS security standards. As soon as You enter the period beyond which the Booking can no longer be cancelled free of charge, We may pre-authorise or charge your card for an amount not greater than that specified on Your Booking Confirmation. Please note: A pre-authorisation is NOT a charge and no monies are taken from Your account, but the credit limit available on Your card may be temporarily reduced by the value of any cancellation fee or deposit applicable at that time.
Cancellation Policy
Cancellation Deadline and fees
If You cancel Your booking less than 7 days before the arrival date a charge equal to Your first night may be payable.
If You cancel Your booking less than 5 days before the arrival date a charge equal to Your Booking Confirmation may be payable.
If You booked via a 3rd Party website, you may be subject to different cancellation deadlines, Policies and amounts.
Cancellations & Amendments
If you do need to cancel or amend Your Booking, it is important that You tell us at the first opportunity so that we may attempt to re-let your room and minimise your loss. You could take out independent cancellation insurance to protect you against possible loss. Please do not consider your booking cancelled until you receive our confirmation.
If You cancel Your Booking on or before the cancellation deadline specified on Your Booking Confirmation (the ‘Cancellation Deadline’) a full refund will be given including any booking extras paid at the time of Your Booking.
If You cancel Your Booking after the Cancellation Deadline You may be charged the full value of as specified in Your Booking Confirmation, including any extras You have selected for the duration of Your stay.
If You do not arrive on the anticipated date of check-in stipulated on Your Confirmation, We are in Our right to consider that You have cancelled the entire Booking and full cancellation fees will apply. We shall not be under any obligation to hold the accommodation for You on any other date.
If You wish to amend any part of Your Booking including the number of guests, dates, room nights or room type (‘Amendment’), then the prices are subject to change. Should You request an Amendment and should We are not be in a position to accommodate Your Amendment, Your Booking may be cancelled as per the Cancellation fees specified on Your Booking Confirmation.
We reserve the right to cancel a booking in the event of situations beyond our reasonable control. We will not be in breach of our agreements and booking contract, nor liable for any failure to perform any of our obligations in relation to your booking, due to any adverse event, act, omission or accident which is beyond our reasonable control. This includes but is not limited to: flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism, interruption or fire, or failure of electric power, gas, water, or other utility service, plant machinery, computers, vehicles or any collapse or damage of building structures. We also reserve the right to cancel a booking due to personal emergencies, including but not limited to; a death in the family, personal injury or any type of medical or personal emergency.
By making a Booking, You consent to this processing of information as described above and the transfer of Your information to the Establishment and to the booking channel(s) through which Your booking originated.
